Microsoft Dynamics GP does allow you to accumulate during the year, adjust and print IRS required forms, such as 1099, W2, W3.
If you have just implemented Dynamics GP in your organization in 2008 and now you are facing the approaching deadline to print and mail the forms to your employees, vendors and IRS, then you might be interested in getting some practical information. This small publication is written in the form of highlights and may require additional Dynamics GP consulting help:
1. US Payroll Module. Here you may have employees (W2 and W3 forms) and contractors (vendors: 1099 form). Please, review employee entry form and set it up for each respected worker
2. Vendors in Accounts Payable module. In order to accumulate 1099 amounts during the year, you should specify that the vendor is of 1099 type. If you forgot to do this – you can still Edit 1099 amounts for each month and then print “edited” 1099 form. Typically you are setting up 1099 Miscellaneous vendor
3. Microsoft Dynamics official Paper forms. The safest way to print forms physically is to purchase forms from W2 and 1099 selling stores or web outlets. If your organization is large and you have solid support plan from Microsoft Business Solutions, we recommend you to order these forms directly from Microsoft. You should open google and type in Microsoft Business Checks. On the web page, in the Quick Find – select Tax Forms. Then, follow the way to order forms from this website. If you are printing forms first time, please try one W2 and one 1099 – and if they do not fit exactly, try to shift your printer output by changing page margins. Normally, no Report Writer modification is needed – however be ready to call Microsoft or your Dynamics GP VAR
4. Third Party Paper Forms. You can also purchase forms from such retail stores as Office Depot or Office Max or third party online stores. However, you should expect, that ERP applications vendors often certify specific products (such as 1099R and W2 paper forms) to fit their applications
5. 1099 and W2 – how to print these forms from old Dynamics GP versions: 8.0, 7.5 and older? If you are on Great Plains Dynamics 10.0 or 9.0 – you should apply Payroll tax update, which you can download from your Microsoft Dynamics Customer Source. However for older versions, such as 8.0 and older, Tax update is no longer supported and available directly from Microsoft. What we can do for you – is simply update Tax tables (but not W2 forms – so you should decide if 2007 W2 form is similar to what you have to print in 2008)
