SAP Business One Customizability and Openness for Integration

Creating user defined tables and adding fields to existing table directly in user interface are definite pluses. In our case we are consulting Accounting systems implementation, modification, integration and reporting and we would like to give us our opinion on the old way of having your ERP customized in comparison to Business One.

In old good days having your accounting system tailored was typically associated with programming in proprietary language with following beta testing and quality assurance.  Large portion of cases was adding new fields to core tables.  Modern SAP B1 allows user defined objects and it saves their configuration in the metadata stored in SQL Server company database.  This elegant solution makes user defined fields and tables neutral to future version upgrade projects.  Let’s take a look at typical integration or customization scenarios:

1. In order to create new table in SAP BO user interface follow the following menu path: Tools -> Customization Tools -> User Defined Tables Setup.  New table gets simple user interface automatically which could be opened via Tools -> User Defined Windows

2. Where new tables are typically used.  Popular scenarios are managerial reports where you need alternative methods to calculate project profitability.  Another example is buffer table in integration with external database

3. Adding fields to existing table.  The same path as in paragraph one but the last step is User Defined Fields Management.  When you are adding field to document header table such as Marketing Documents -> Title then these fields are available for editing if you open document form and mark in menu View -> User Defined Fields.  If you are adding field to row level table then they could be placed on the scrolling window in the document by clicking on Form Setting menu icon

4. Managerial Reporting.  Good advice is Crystal Reports design as SAP acquired Business Objects.  We also recommend basing CR on SQL View or Stored Procedure and both can pull and join data from newly created tables or fields

5. Need some user defined objects animation via software development.  In this case we recommend you to read topics on Software Development Kit.  General highlights are facts that it is geared to be programmed in Microsoft Visual Studio.  Code hints are available in VB and C#.  Modern days programming is done by reviewing and imitating code samples

6. Integration in international context also known as integration for SAP NetWeaver/B1iSN.  Here you are deploying NetWeaver in the headquarters in the United States or Europe and Business One in overseas facility where transaction volume is modest and better fit is SAP Business One.  SB1 is localized in major world regions including Brazil,SAP Business One Customizability and Openness for Integration Articles Russian Federation, Continental Europe, China

7. Integration on the GL level with non-SAP ERP solution.  We have business case when multinational company was deploying Great Plains Dynamics in the headquarters in Chicago and SAP B1 in Brazilian production plant.  Weekly routine was exporting General Ledger entries from Business One directly via SQL Select scripts and then Dynamics GP Integration Manager was deployed to move transactions into shadow company GL.  We also recommend you to consider the options of exporting GL trial balance into Excel and then use it in consolidated Financial Reporting in Microsoft Management Reporter or FRx
